Important update:
Direct integrations with most popular CRMs are now available via Send person to external CRM action. We also have an article about direct integration between Linked Helper and Google Sheets: How to integrate Linked Helper with Google Sheets directly
In this article, we'll show you how you can send profiles from Linked Helper to Zapier and how to use Zapier to send those profiles further into Google Sheets. This is a cool ability for sellers who want to make their business workflow even more automated.
You can use this integration as an example for integrating Linked Helper with another CRM or 3rd party app. The first two paragraphs of the manual integration below are the same across all apps, but adjusting zap is different, of course, yet it should as simple as integrating Google Sheets.
Note: Webhooks by Zapier event requires a paid Zapier subscription.
With this certain example, we will send data of 1st-degree connections (emails, phones, etc.) to Google Sheets. There are two ways of integrating Google Sheet: integrating it manually from scratch or integrating it via a shared zap. The first way is handy in case you want to send only a few data fields such as full name, email, and phone number, for example, while the second way saves a lot of your time if you want to send all the data from Linked Helper to the file.
Manual integration
You can check this short video that explains to you how to send needed fields to Salesforce. Using this as an example, you can integrate Linked Helper with any other app or CRM that supports incoming Zapier webhook:
Create a webhook in Zapier
- Navigate to http://zapier.com and login/create an account.
- When logged in, click on "Make a Zap":
- Select "Webhooks by Zapier" in the "App event" field:
- After you make a Zap it is better to give it a meaningful name if you are planning to have several Zaps:
- In the "Trigger event" field select "Catch a hook" and click on "Continue":
- After clicking on "Continue" you will see that Zapier generated a URL to your webhook. Now you need to copy this URL and add it to Linked Helper Send person to webhook action as it is shown in the next part of the article:
Add "Send to Webhook" action and push "test" data into it
- Create a campaign in Linked Helper with Visit & Extract profiles and Send person to webhook actions. You can use "Export profile information" template. Manuals below help you to create a campaign and set it up:
- When adding Send person to webhook Action, please:
- paste the webhook URL to the Action's settings:
- do not forget to make other adjustments, such as enabling messaging export, if needed: Please note that you can add "Send person to webhook" action in any of your existing campaigns, so in case you already extracted the data using another campaign and want to send that data to webhook, you just need to add "Send person to webhook" action as an additional step in your existing campaign.
- Now you need to process a single profile through the "Send person to webhook" action, so Zapier can get an example of data that Linked Helper can push and get fields that you will need to set up later.
- Start your campaign and manually stop it when 1 profile ends up in the "Successful" list of "Send person to webhook" action:
- Now you can move back to Zapier and continue with adjusting your Zap.
Create a spreadsheet with column headers
If you don't have a sheet for this purpose yet, then you need to create a spreadsheet with the needed columns. Here is the link to Google Spreadsheet that contains the headers which are submitted via webhook - Linked Helper 2 Webhook column headers. You can copy it to your Google Drive and use it as an example and add any extra columns if needed, such as columns for messaging history or for profiles' replies.
Please, note that the number of Educations, Messengers, Positions, Phone numbers, Websites, Languages, and Full / Campaign messaging history columns can be adjusted in the Send person to webhook action (see screenshot below). If you do not need a certain column, you can delete it from your spreadsheet.
Adjust your Zap and run your campaign
- You need to move back on the screen where you got your webhook URL and press continue:
- Zapier will ask you to test this trigger to check if it received any data from Linked Helper. That is why we previously pushed 1 profile through the "Send person to webhook" action. Click on "Test trigger":
- If you did everything correctly, you will see what data did the webhook just receive. Click on "Continue" again.
- Now we need to decide where to move this data through the webhook. In this example, we will be sending data from Linked Helper to Google Sheets. Select "Google Sheets" under "App event":
- You need to add some headers to the sheet, in order for Zapier to detect them. You can take the example from the Create a spreadsheet with column headers paragraph or create your own headers. For example, I'm interested in having a sheet with only four columns: Full name, Email, Number, and Connected At:
- If you want to populate a blank spreadsheet with data, you need to select "Create Spreadsheet Row" in "Action event" and click on "Continue":
- Zapier will ask you to log into your Google Sheets account, please log in and proceed further.
- Now after selecting the sheet we can see that Zapier detected the headers and now we can push data to them:
- You can search for the data which Linked Helper will push to columns by clicking on "Show all options" and scrolling:
- Or just type the data which you want to push to the column in the search bar and select it:
- As a result, I selected this data to be pushed to the columns. After you fill in all the data here, click on "Continue":
- Click on "Test and continue" on the next screen:
- You will see the notification that the spreadsheet row was sent to your sheet. You can check if your sheet was populated with the data - it will be the data of that single profile that we previously processed through the "Send person to webhook" action.
- Now just turn on your Zap:
- After turning Zap on - you can go back to your campaign in Linked Helper and run it. Linked Helper will send all data from profiles that will be processed through "Send to webhook" action to your spreadsheet.
- As a result, we have a spreadsheet that was populated with the info scraped by Linked Helper:
Integration via shared zap
Add shared zap to your Zapier and Linked Helper campaign
- Open shared zap via this URL - https://zapier.com/shared/06ab0dc1f564c953b3639208fe98e9f5471734e2
- Click "Try this Zap" and log in / create an account in Zapier if needed:
Create a campaign and push "test" data into the Zap
- Create a campaign in Linked Helper with Visit & Extract profiles and Send person to webhook actions. You can use "Export profile information" template. Manuals below help you to create a campaign and set it up:
- When adding Send person to webhook Action, paste the webhook URL to the Action's settings, enable both messaging history options:
Please note that you can add "Send person to webhook" action in any of your existing campaigns, so in case you already extracted the data using another campaign and want to send that data to webhook, you just need to add "Send person to webhook" action as an additional step in your existing campaign.
Copy a spreadsheet with prepared column headers
Here is the link to Google Spreadsheet that contains the headers which are submitted via webhook - Linked Helper 2 Webhook column headers. You need to copy it to your Google Drive and use it for the integration as per the steps below.
In order to use the document, you need to create a copy in your google drive. To do so, please:
- open the spreadsheet;
- login to your Google account if needed;
- click File menu;
- click Make a copy to create a copy of document in your GDrive:
Add your spreadsheet and finalize the settings
- Zapier will ask you to test this trigger to check if it received any data from Linked Helper. That is why we previously pushed 1 profile through the "Send person to webhook" action. Click on "Test trigger":
- If you did everything correctly, you will see what data did the webhook just receive. Click on "Continue" again.
- If you want to populate a blank spreadsheet with data, you need to select "Create Spreadsheet Row" in "Action event" and click on "Continue":
- Zapier will ask you to log into your Google Sheets account, please log in and proceed further.
- Once you're logged in, you'll see a message from Zapier that some extra fields are not used, but that's OK, they will be used when you choose the correct document. Please, choose the Drive where a copy of the Google Spreadsheet with prepared headers is stored, then choose the Spreadsheet, and Worksheet:
- Once the correct spreadsheet and worksheet are chosen, the values will be automatically put to the correct columns of the document:
- Scroll down till the end of the page and click "Continue".
- Then click "Test and continue". Zapier will send the data of the profile you pushed for testing the trigger into the spreadsheet, so you will be able to see the data:
Tips
#1: Sending Custom Fields / Variables to Zapier
As Linked Helper 2 allows you to upload or set custom fields to profiles to use them in your message templates, you may want to send them through Zapier as well.
The problem is that Zapier doesn’t show them in the data sample when you set up your Zap:
The workaround is simple: you just need double curly brackets.
{{cs_hubspot_crm_id}}
Zapier will change it to:
Don’t worry that Zapier shows “No data” for such variables. When you send data via LH2, you will receive custom variables at your target destination (CRM, Google Spreadsheet, …).
#2: Exporting messaging history and replies
Since Linked Helper now can scrape messaging history, it is possible to send not only the full / campaign messaging history to webhook but only profiles' replies as well.
The full / campaign messaging history as well as all messages such as such fields as replied_message_1_from, replied_message_1_text, replied_message_1_send_at are already included into export in the shared webhook.
If your goal is to get profiles' replies into your CRM, you can send only values mentioned above with profile identifiers (LinkedIn IDs or first/last names) into webhook and reduce information and hence "noise" sent to your CRM.
This can be done via additional options of the Check for replies, Message to 1st connections, and other messaging Actions. All you need is to install Send replied to Webhook plug-in and enable the option of sending replied to webhook (adjust settings if needed).
