Important update:
Direct integration with Pipedrive is now available via Send person to external CRM action. Check this article for more info - Integration with Pipedrive CRM.
In this article, we'll show you how you can send profiles from Linked Helper to Zapier and how to use Zapier to send those profiles further into Pipedrive. This is a cool feature for sellers who want to make their business workflow even more automated.
You can use this integration as an example for integrating Linked Helper with another CRM or 3rd party app. The first two paragraphs of the manual integration below are the same across all apps, but adjusting zap is different.
Note: Webhooks by Zapier event requires a paid Zapier subscription.
With this certain example, we will send data of 1st-degree connections (emails, phones, etc.) and automatically add new contacts in PipeDrive using this data. There are two ways of integrating with Pipedrive: integrating it manually from scratch or integrating it via a shared zap.
Integration via shared zap
Add shared zap to your Zapier and Linked Helper campaign
- Open shared zap via this URL -
https://zapier.com/shared/a6277e1932476b3d284d154e57ebc7539fb3dd10 - Click "Try this Zap" and log in / create an account in Zapier if needed:
Create a campaign and push "test" data into the Zap
- Create a campaign in Linked Helper with Visit & Extract profiles and Send person to webhook actions. Manuals below help you to create a campaign and set it up:
- When adding Send person to webhook Action, paste the webhook URL to the Action's settings, enable both messaging history options: Please note that you can add "Send person to webhook" action in any of your existing campaigns, so in case you already extracted the data using another campaign and want to send that data to webhook, you just need to add "Send person to webhook" action as an additional step in your existing campaign.
- Now you need to process a single profile through the "Send person to webhook" action, so Zapier can get an example of data that Linked Helper can push and get fields that you will need to set up later.
- Start your campaign and manually stop it when 1 profile ends up in the "Successful" list of "Send person to webhook" action.
- Now you can move back to Zapier and continue with adjusting your Zap.
Finalize the settings
- Zapier will ask you to test this trigger to check if it received any data from Linked Helper. That is why we previously pushed 1 profile through the "Send person to webhook" action. Click on "Test trigger":
- If you did everything correctly, you will see what data did the webhook just receive. Click on "Continue" again.
- Click on "Continue" from this screen in case you don't want to change the event:
- Zapier will ask you to log into your Pipedrive account. Please log in and proceed further:
- You will see that columns are already filled with the data. Click on "Continue" (my real data on the screenshot was cut for security reasons, but in your case, you will see the data of the "test" profile that you pushed):
- Now just click on "Test & Continue":
- Zapier will send this "test profile" to your Pipedrive account.
- You can also check that this person appeared in the "Contacts" tab of Pipedrive with all information that you filled in Zapier included:
- Now just turn on your Zap:
- After turning Zap on - you can go back to your campaign in Linked Helper and run it. Linked Helper will send all data from profiles that will be processed through the "Send to webhook" action to your spreadsheet
Manual integration
Create a webhook in Zapier
- Navigate to http://zapier.com and login/create an account.
- When logged in, click on "Make a Zap":
- Select "Webhooks by Zapier" in the "App event" field:
- After you make a Zap it is better to give it a meaningful name if you are planning to have several Zaps:
- In the "Trigger event" field select "Catch a hook" and click on "Continue":
- After clicking on "Continue" you will see that Zapier generated a URL to your webhook. Now you need to copy this URL and add it to Linked Helper Send person to webhook action as it is shown in the next part of the article:
Add "Send to Webhook" action and push "test" data into it
- Create a campaign in Linked Helper with Visit & Extract profiles and Send person to webhook actions. Manuals below help you to create a campaign and set it up:
- When adding Send person to webhook Action, please:
- paste the webhook URL to the Action's settings :
- do not forget to make other adjustments, such as enabling messaging export, if needed: Please note that you can add "Send person to webhook" action in any of your existing campaigns, so in case you already extracted the data using another campaign and want to send that data to webhook, you just need to add "Send person to webhook" action as an additional step in your existing campaign.
Finish your Zap and run your campaign
- You need to move back on the screen where you got your webhook URL and press continue:
- Zapier will ask you to test this trigger to check if it received any data from Linked Helper. That is why we previously pushed 1 profile through the "Send person to webhook" action. Click on "Test trigger":
- If you did everything correctly, you will see what data did the webhook just receive. Click on "Continue" again.
- Now we need to decide where to move this data through the webhook. In this example, we will be sending data from Linked Helper to the Pipedrive. Select "Pipedrive" under "App event":
- Select "Create Person" under the Action Event:
- Zapier will ask you to log into your Pipedrive account. Please log in and proceed further:
- Now you can fill in the data columns from Linked Helper into Pipedrive columns:
- You can search for the data which Linked Helper will push to columns by clicking on "Show all options" and scrolling:
- Or just type the data which you want to push to the column in the search bar and select it:
- As a result, I selected this data to be pushed to the columns. After you fill in all the data here, click on "Continue" (my real data on the screenshot was cut for security reasons, but in your case, you will see the data of the "test" profile that you pushed):
- If you've done everything correctly, you won't see any errors on the "Test Action" page. If any errors appear, most likely you didn't fill in "required" columns with any data. Now just click on "Test & Continue":
- Zapier will send this "test profile" to your Pipedrive account.
- You can also check that this person appeared in the "Contacts" tab of Pipedrive with all information that you filled in Zapier included:
- Now just turn on your Zap:
- After turning Zap on - you can go back to your campaign in Linked Helper and run it. Linked Helper will send all data from profiles that will be processed through the "Send to webhook" action to your spreadsheet:
Tips
#1: Sending Custom Fields / Variables to Zapier
As Linked Helper 2 allows you to upload or set custom fields to profiles to use them in your message templates, you may want to send them through Zapier as well.
The problem is that Zapier doesn’t show them in the data sample when you set up your Zap:
The workaround is simple: you just need double curly brackets.
{{cs_hubspot_crm_id}}
Zapier will change it to:
Don’t worry that Zapier shows “No data” for such variables. When you send data via LH2, you will receive custom variables at your target destination (CRM, Google Spreadsheet, …).
#2: Exporting messaging history and replies
Since Linked Helper now can scrape messaging history, it is possible to send not only the full / campaign messaging history to webhook but only profiles' replies as well.
The full / campaign messaging history as well as all messages such as such fields as replied_message_1_from, replied_message_1_text, replied_message_1_send_at are already included into export in the shared webhook.
If your goal is to get profiles' replies into your CRM, you can send only values mentioned above with profile identifiers (LinkedIn IDs or first/last names) into webhook and reduce information and hence "noise" sent to your CRM.
This can be done via additional options of the Check for replies and Message to 1st connections. All you need is to enable the option of sending replied to webhook and adjunct settings if needed. Please, check this article for more info - Messaging history in Linked Helper.
