1. Avoid duplicates in one LinkedIn account
One message chain - one Campaign.
If this is your first campaign for the targeted audience and the message you're going to send was never sent to your potential leads before, then the easiest and most convenient way is to make sure you have only one campaign for sending this message as Linked Helper does not collect duplicates* into the same Campaign or Action if a profile is already in the Queue / Processed / Exclude list (with Exclude list plug-in installed).
1.1 Every Action has such lists as:
- Queue - contains profiles who will be processed via the Action;
- Processed - contains profiles who were processed via the Action and also moved to a sub-list under Processed list (Skipped, Failed, Excluded, etc.).
Both can be accessed by clicking on 'queue' of the action:
Please, note that the Processed list includes profiles from other sub-lists such as Skipped, Failed, Excluded, Messaged, Replied, and Successful.
When you collect people into certain Action, Linked Helper adds them into the Queue list of the Action. When Linked Helper process a profile, it moves a contact from Queue list to Processed. Linked Helper will not collect or process a profile via the same Action again if the profile is already in the Processed or Queue list of the Action.
1.2 Every Campaign has two lists:
- Queue - contains profiles who will be processed via the Campaign (Campaign Queue contains the first Action Queue as well as those who were added to the action not from the workflow, i.e. directly from CRM or CSV);
- Exclude (with Exclude list plug-in installed) - contains profiles that should not be collected or processed via any Action of the Campaign.
When you collect people into the Queue of Campaign, Linked Helper adds them into the Queue of the first Action and then process till the profiles reach the end of the Campaign or get into Skipped, Failed, Excluded, Messaged, or Replied sub-list of certain Action. So, as you have already guessed, if you have accidentally started to add duplicate profiles into Campaign Queue, then Linked Helper will skip them as they already collected into the first Action.
However, if you send five follow-up messages via Campaign and one and the same profile was collected into the Campaign Queue and 5 minutes later into the Queue of Action #3, then such profile can be processed via Actions #3 and only then via Action #1 because Linked Helper process profiles from bottom up. A similar situation may occur when the profile received the first three messages manually and you added a profile in the middle of the Campaign. Please, check this article on how to skip such profiles from processing in certain actions: How to skip profile from being processed by a certain Action of Campaign?
When a profile is added to the Exclude list of Campaign, Linked Helper neither collects nor processes such profile no matter where such profile was at the moment of excluding or to what Action it will be added to later. All profiles who are in any Action Queue will be moved into the Excluded sub-list of respective Action.
As a conclusion for this part of instruction:
- Try to add profiles to the beginning of the Campaign only. If you need to add them into the middle of the Campaign and such profiles should not be processed by previous Actions, make sure those profiles were skipped from processing in such Actions: How to skip profile from being processed by a certain Action of Campaign?
- You can exclude profiles if you do not want them to be processed by any Action of the Campaign - How to exclude contacts from a campaign.
Filter those who already received the same message
It may happen that prior to using Linked Helper automation, you sent lots of messages manually. Now this part of your daily routine is automated, yet the question is how to avoid sending duplicates to those who already received a manual message from you.
Linked Helper can scrape messaging history with a profile when sending a message. Filter by content feature allows you to analyze the content of the messages and exclude profile from messaging chain in case he or she already received certain part of a previously sent message.
Here is how to set up this feature:
- Install Filter by message content plug-in
- Open a campaign where you'd like to avoid duplicates and navigate to the Message to 1st connections action.
- Click on the action and scroll down to find 'Message analyzer' and then click on 'Filter by message content'
- Set up this function as it is shown in the screenshot below. The Previous message phrases field must contain a part of the message that client already received and should not receive any more.
Avoid duplicates in multiple Campaigns
Use Lists Manager plug-in to copy queued / processed contacts to the Exclude list of a Campaign. Note that List Manager is a plugin and it can be installed/uninstalled via Plug-in Store menu.- Navigate to the Functions menu and open List manager.
- In Source choose a campaign where you need duplicates (if there are any) to be processed.
- In Target choose a campaign where you need duplicates (if there are any) to be excluded from processing.
- Click Remove intersections between campaigns button.
2. Avoid duplicates in multiple LinkedIn accounts
In case you haven't started your campaigns yet
Split your targeted audience
The most logical and easiest way is to split the audience between LinkedIn accounts using built-in LinkedIn filters. For example, you can use Industry filter and collect profiles from Computer software industry into LinkedIn account A and into LinkedIn account B you can collect profiles from Network security industry.
Use only one LinkedIn account for collecting profiles
Sometimes splitting audience by extra filters is not possible. As a workaround, you can use only one LinkedIn account and one campaign for collecting your leads and other accounts for reaching out since Linked Helper does not collect duplicates into the same Campaign or Action if a profile is already in the Queue / Processed / Exclude list.
After profiles are collected, you need to:
- Download them - How to download profiles from Linked Helper to a CSV file
- Open the the CSV file in MS Excel and split it on several smaller ones, 1 file per account - How to Import CSV files into MS Excel
- Upload CSV files into other LinkedIn accounts - How to Upload Profiles URLs into Linked Helper
- Exclude the profiles from the campaign of the main LinkedIn account so they won't be used or collected again - How to exclude contacts from a campaign in Linked Helper
Exclude profiles from other accounts
If you and your colleague(s) are working on the same market with the same lead pool, then you obviously need to avoid contacting one and the same lead several times. Find below two workarounds on how to do that.
In case you haven't started your campaigns yet
Let's imaging there are four of you, each one is going to send the same message template the 1st-degree connections or invite to 2nd / 3rd-degree connections. Then in order to avoid intersections, you need to do the following:
1. Go to the 1st Instance with LinkedIn account A.
2. Create a new Campaign for messaging.
3. Collect contacts whom you want to send your message from LinkedIn account A.
4. Download collected contacts from the Queue - How to download certain list from Linked Helper
5. Go to the 2nd instance with LinkedIn account B.
6. Create a new Campaign for messaging.
7. Open newly created Campaign, go to the Lists tab and open Exclude list
8. Upload URLs from the 4th step to Exclude list - How to Upload Profiles URLs into Linked Helper?
9. Collect contacts whom you want to send a message for LinkedIn account B
10. Download collected contacts from the Queue - How to download certain list from Linked Helper
11. Go to the 3d instance with LinkedIn account C.
12. Create a new Campaign for messaging.
13. Open newly created Campaign, go to the Lists tab and open Exclude list
14. Upload URLs from the 4th and 10th steps to Exclude list - How to Upload Profiles URLs into Linked Helper?
15. Collect contacts whom you want to send a message for LinkedIn account C
16. Download collected contacts from the Queue - How to download certain list from Linked Helper
17. Go to the 4th instance with LinkedIn account D.
18. Create a new Campaign for messaging.
19. Open newly created Campaign, go to the Lists tab and open Exclude list
20. Upload URLs from the 4th, 10th and 16th steps to Exclude list - How to Upload Profiles URLs into Linked Helper?
Done! After that, you can create a message template for all LinkedIn accounts and you can start sending your messages. If you want to add new contacts, then you need to follow the same algorithm step by step (LinkedIn accounts should always be at the same position, e.g. if you had Mark Smith's LinkedIn account on the first place, then he should always be the 1st account, etc.).
In case your campaigns have already been running for a while
In this case, you need to follow the same logic that Lists Manager uses with only difference that you need to move profiles between campaigns manually as Lists Manager can work within one instance only.
So the steps are:
- Open a campaign (let's call it campaign #1) in the LinkedIn account A.
- Download profiles from the Queue, Processing, and Processed lists into CSV files.
- Open the campaign from which you'd like to exclude leads in the LinkedIn account B, let's call it campaign #2.
- Upload profiles from the CSV files you gathered in the step #2 above into the Exclude list of the LinkedIn account B, campaign #2.
- Save profiles left in the Queue of the LinkedIn account B into a CSV file.
- Upload profiles from the step #5 into the Exclude list of the campaign #1 of the LinkedIn account A.
Thus, you exclude any intersections that occur between the two campaigns in both LinkedIn accounts. Next time you collect profiles into both LinkedIn accounts, you can use the method described in the In case you haven't started your campaigns yet subsection above of this article.

* Sometimes Linked Helper can collect duplicates due to the fact that one and the same profile can have different profile IDs.
Each LinkedIn account has several different IDs across all LinkedIn Platforms (Linkedin, Sales Navigator, or Recruiter). A profile can have more than one ID on a platform. When collecting profiles into a Campaign / Action from one and the same platform, Linked Helper skips duplicates since each time you fetch the profile from search its IDs are the same and Linked Helper understands that the person is a duplicate and should not be collected.
However, when collecting profiles from different platforms, duplicates may be collected. The reason for that is profile IDs scraped from LinkedIn search and Sales Navigator search are different, hence duplicates are not always detected at the moment of collecting. Currently, Linked Helper detects duplicates at the moment of collecting since it takes the IDs available on the search page, but even if it hasn't managed to do that during the collecting process you should not worry about duplicates because when Linked Helper visits the profile page it scrapes all the available IDs which is enough for merging duplicates.
